First Baptist Church Hinesville Church
Hours: 30 hrs/wk
Pay Range: $13,000 – $30,000/per year based upon experience and skills.(No benefits offered or implied)
The First Baptist Church Hinesville Secretary is a vital administrative support position responsible for ensuring the smooth and efficient operation of the church office. This individual serves as the first point of contact for many visitors and members, embodying the church's welcoming spirit. The Church Secretary provides administrative, secretarial, and clerical support to the Pastor(s), and various ministry teams. This role requires strong organizational skills, excellent communication abilities, and a genuine commitment to serving the church community.
Responsibilities:
Office Administration:
Manage the church office, including answering phones, greeting visitors, and responding to inquiries in a professional and courteous manner.
- Maintain office supplies and equipment, ensuring a well-organized and functional workspace.
- Sort and distribute mail, emails, and faxes.
- Manage the church calendar, scheduling appointments and coordinating events.
- Maintain and update church databases, including membership records, contact information, and attendance data.
- Prepare and distribute church communications, such as newsletters, bulletins, announcements, and email blasts.
Communication and Correspondence:
Draft, edit, and proofread correspondence, reports, and other documents.
- Prepare agendas and minutes for meetings, as required.
- Manage church social media accounts, posting updates and engaging with followers (if applicable).
- Update and maintain the church website, ensuring accuracy and relevance of content (if applicable).
- Communicate with vendors, suppliers, and other external parties.
Financial Administration:
Assist with basic bookkeeping tasks, such as processing donations, and reconciling bank statements **a working knowledge of QuickBooks preferred
- Manage accounts payable and receivable, as needed.
- Prepare and track invoices and expense reports.
Ministry Support:
- Provide administrative support to various ministry teams
- Prepare and distribute ministry materials, such as curriculum, handouts, and promotional materials.
- Maintain confidential information regarding church members and staff.
Other Duties:
- Perform other duties as assigned by the Pastor(s).
Qualifications:
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Proven experience in an administrative or secretarial role.
- Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) QuickBooks, and
- database management software.
- Strong organizational, time management, and problem-solving skills.
- Exceptional written and verbal communication skills.
- Ability to maintain confidentiality and exercise discretion.
- Ability to work independently and as part of a team.
- Experience with social media management is desirable.
- Bookkeeping experience is preferred
Work Environment:
- Office setting
- May require some evening or weekend work for special events.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift and carry up to 25 pounds.
Compensation:
Commensurate with experience and qualifications.
