Administratively support the CEO of Josh McDowell Ministry (JMM) through prioritizing competing demands, applying sound judgment, and calmly juggling multiple projects and logistics. Help the CEO build and maintain trusted relationships with various internal and external stakeholders in a professional, confidential, and personal manner. Filter and attend to the day-to-day functions that are part of the CEO's role so that the CEO can focus on the high-level leadership and strategy functions.
Job Description
Administratively support the CEO of Josh McDowell Ministry (JMM) through prioritizing competing demands, applying sound judgment, and calmly juggling multiple projects and logistics. Help the CEO build and maintain trusted relationships with various internal and external stakeholders in a professional, confidential, and personal manner. Filter and attend to the day-to-day functions that are part of the CEO's role so that the CEO can focus on the high-level leadership and strategy functions.
Primary Responsibilities
Calendar Management
- Ensure CEO's schedule aligns with his priorities, making trade offs as needed. Ensure adequate time for thinking, planning & preparation, and staff care
- Plan, prepare, and organize a variety of meetings and events: including reserving and preparing meeting rooms, attending to meeting logistics, arranging catering, & planning retreats
- Proactively identify and suggest ways to free up CEO on a regular basis
- Observe and notate energy gain and energy drain activities; schedule meetings and work accordingly.
- Constantly remain 1 day, 1 week, and 1 month ahead of ceo and prepare for what's coming
Email Management
- Prioritize incoming emails to ensure timely communication, responding on behalf of CEO when possible
- Proactively write and edit email communication in CEO voice and tone
- Transfer tasks generated through email into CEO task management system
Administration
- Assist with financial duties: clear ministry card, coordinate invoice payments and tracking, coordinate new contract creation/renewals, and assist with financial transfers
- Book travel, add details to calendar, and coordinate trip preparation
- Anticipate, prepare, distribute, and maintain a variety of agendas, reports, meeting notes, contracts and materials.
- Maintain organized digital files in google drive.
- Build and maintain up to date database of key stakeholders ensuring regular connections with the right people
- Assist with various tasks for the Executive Leadership Team
- Work directly with the CEO to support all aspects of his daily work routine
