Job Overview

The Church Administrator serves as the organizational support for Mosaic, ensuring that the daily operations of the church run with gospel-centered excellence. This person manages the logistical, administrative, and operational functions of the church to free our pastors and staff to focus on ministry and discipleship. This role requires attention to detail, proactive communication, and a heart to support the mission of the church behind the scenes.

Requirements

  • 3+ years experience in administrative or operational roles, preferably in a church or nonprofit setting
  • Strong organizational skills, attention to detail, and ability to multitask under deadlines
  • Excellent interpersonal, written, and verbal communication skills
  • High trustworthiness with confidential information and sensitive communication
  • Proficiency in managing the Planning Center platform or a willingness to learn. G Suite (Docs, Sheets, Gmail) experience is a must.
  • A love for working in teams and seeing teams thrive more than individual success
  • Tendency to engage problems creatively and solve problems with perseverance
  • An excitement for learning and growth in staff meetings
  • A drive to work hard derived from conviction from the Lord
  • Ability to join staff meetings Tuesdays 9:00am-11:00am / Fridays 11:30am-12:30pm

Key Skill Abilities

Proficiency in creating workflows, checklists, and calendars that simplify church operations for others

  • Crafts internal and external communication (emails, announcements, bulletins) that reflect Mosaic's tone: warm, thoughtful, and gospel-centered
  • Comfortable learning new software and improving administrative systems
  • Self-starter who anticipates needs, solves problems, and takes ownership of responsibilities

Responsibilities

  1. Administration
    1. Manage church-wide calendar, coordinating staff meetings, events, facility usage, and ministry schedules
    2. Sunday prayer assignments, hosting team assignments and Sunday worship logistics oversight
    3. Assist pastors in building workflows for assimilation, membership, and discipleship processes
    4. Assist pastors in preparation for Sunday worship services

  1. Planning Center Management
    1. Maintain accurate digital and physical filing systems for church records, membership, policies, and church documents
    2. Lead communication out to the church via Planning Center
    3. Set up registration and forms in Planning Center for events, sign-ups, and RSVPs
    4. Maintain up-to-date serving rosters, and email groups for all ministry teams
    5. Provide reports on giving, attendance, or engagement trends as requested

  1. Communications Bridge with Chodae Community Church
    1. Meet regularly with Chodae Community Church to facilitate communication
    2. Communicate important information to Mosaic regarding education ministries
    3. Collaborate with Chodae for facility use and reservations

  1. Team Collaboration
    1. Organize SundayWorship with Mosaic staff
    2. Contribute to the coordination of church events
    3. Contribute to the general logistical needs of the church
