Children’s Ministry Administrative Coordinator
Job Overview
The Children's Ministry Administrative Coordinator will work with the Director of Children's
Ministry to ensure an ongoing culture of volunteer recruitment, development, and retention, along
with providing administrative support for all programs and special events for the children's ministry
of Pennington Park Church.
Job Description
EDUCATION & EXPERIENCE
• Bachelor's degree preferably in education or ministry
• Experience working with children and/or families preferred
• Experience in administration, organization, and/or processes

• Passionate follower of Jesus Christ demonstrated by action, attitude, and behavior
• Committed to the church by embracing the mission, vision, and core values of PPC
• Passionate and enthusiastic about the discipleship of children

ESSENTIAL RESPONSIBILITIES & OPPORTUNITIES
• Volunteer Recruiting and Onboarding
- Develop and maintain an ongoing culture of recruiting, orienting, and training for children's ministry (CM) programming
- Strategic regarding volunteer placement and awareness of continual volunteer needs in each area of children's ministry
- Schedule all weekly volunteers for CM programming – preschool to 6th grade
- Maintain a substitute list to ensure staffing when emergencies ariseo Manage cancellations (preschool – 6th grade) and assign subs as needed
• Volunteer Training and Engagement
- Train volunteers on policy and procedure essential to a safe, healthy and engaging environment for children
- Help with preparation, planning, and delivery of annual CM volunteer training
- Cultivate a volunteer culture in which CM volunteers are encouraged to be caring and actively engaged in the spiritual development of children
- Foster a culture of appreciation for volunteers through encouragement
- Help execute appreciation touch points for volunteers
• Planning Center
- Manage Planning Center software related to CM programming and events
- Oversee "Check-Ins" for all Children's Ministry events and programming in collaboration with the CM Ministry Assistant
- Maintain accurate "lists" to provide reports on attendance, class size, etc.
- Be proficient with creating forms, workflows, and profiles in "People"
- Create sign-ups for all necessary CM events in "Registrations"
• General Administration
- Provide administrative support for all CM events and programs
- Attend meetings as needed, taking notes and tracking action steps
- Manage relevant CM budgets, submit spending reports, and track spending throughout the fiscal year in collaboration with CM director
- Help maintain the CM calendar securing dates/facilities for programming
- Maintain the CM webpage with direction from the CM Director
- Communicate regularly with families re: events and programming
- Collaborate with other staff on communication and projects
• Additional Responsibilities
- Attend weekly CM staff meetings and all-staff meetings
- Participate in training opportunities as directed by the CM Director or PPC
- Attend regular one-on-one meetings with CM Director to discuss special projects, administrative tasks, progress, and request assistance as needed
- Supervise Sunday programming and Sunday evening childcare as needed
- Assist with the preparation, planning and delivery of annual CM events (i.e. Backyard Bible Clubs, Parent Equipping)
ANTICIPATED TIME COMMITMENT & COMPENSATION
- Commitment of 40 hours per week
- Sunday mornings required, some Sunday evenings, and some holidays
- Opportunity for flexible hours
- Full-time, salaried position with benefits
- Position reports directly to the Director of Children's Ministry
