As the Executive Administrative Assistant to the President, you'll be equipping a visionary leader to stay focused on what matters most: advancing the gospel worldwide.
This is a high-trust role requiring discretion, initiative, and an eye for both people and process. You'll help keep the Office of the President moving forward—relationally, logistically, and spiritually.

Must-Haves:

- 3+ years of executive-level administrative experience (nonprofit or ministry setting preferred)

Job Description
Job Title: Executive Administrative Assistant
Job Type: Full-Time/Hourly/Non-Exempt
Job Summary/Primary Role: The Executive Administrative Assistant to the President serves as a key support role within the ministry, ensuring that the President is equipped to lead effectively and carry out the goals of the mission with excellence. This individual provides high-level administrative, logistical, and relational support while maintaining confidentiality, spiritual sensitivity, and organizational integrity.
This position requires a heart for missions and ministry, a professional demeanor, and the ability to manage a wide variety of tasks in a dynamic, fast-paced environment.
Essential Functions and Responsibilities include but are not limited to:
- Serves as the primary point of contact for internal and external communication on behalf of the President.
- Manages the President's calendar, including scheduling meetings, appointments, travel arrangements, and speaking engagements.
- Coordinates logistics for board meetings, executive team meetings, and special events led by the President.
- Prepares correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
- Organizes and maintains files, records, and contact databases. Manages constituent and donor contacts, communications, and appointments through various platforms.
- Anticipates the needs of the President and proactively manage priorities and follow-ups.
- Helps steward ministry culture through relational hospitality and discretion when engaging with staff, missionaries, supporters, and partners.
- Maintains confidentiality and exercise discernment in handling sensitive information.
- Supports strategic projects and initiatives as assigned by the President.
- Performs other duties or special projects as required or as assigned.
Qualifications: Ability to pass background check and all necessary clearances as mandated by the Commonwealth of Pennsylvania.
Education: Associate's Degree in business administration, office administration or related field preferred. Strong work history in lieu of degree would be considered.
Minimum Prior Experience Required: Proven experience (3+ years) in executive-level administrative support, preferably in a nonprofit or ministry context.
Travel: Some domestic travel will be required for this position. International travel may be considered.

While performing the duties of this job, the employee is regularly required to sit for extended periods of time, talk or hear; perform fine motor, hand, and finger skills in the use of a keyboard, telephone, or writing. The employee will spend their time in an office environment with a moderate to high noise level.
