We're looking for a team player who can communicate clearly to join our Mission Catalysts Group as a full-time non-exempt Executive Assistant. On Mission together, to provide NC Baptist ministries, staff, and churches with excellent financial support in a manner that honors Christ.

As the Executive Assistant, you would be responsible for administrative support and coordination, financial assistance and budgeting, and event support. These are integral to supporting the Director and Mission Catalysts group in achieving organizational goals.

Requirements and Responsibilities

Requirements:

  • A four-year college degree is strongly desired.
  • Prefer 5+ years of experience in work related to the responsibilities of this job.

Highlighted Responsibilities:

  • Serve as the Director's administrative assistant and receptionist.
  • Serve as liaison with the Communications group, Administration, Convention Relations, other BSCNC Board Groups, and the Mission Catalysts group as requested by the Director.
  • Serve as chief financial assistant for the Mission Catalysts group.

Paid Time Off:

  • While getting the primary holidays off (8 total), the convention goes beyond this by offering an extra day after Thanksgiving and a full week off for Christmas, which is not counted against your vacation leave.

Christmas Bonus:

  • There may be a chance that some or all employees may be presented with an amount determined by the discretion of the Executive Committee.

Paid Parental Leave:

  • Eligible employee's may receive up to two (2) weeks of paid parental leave following the birth of a child or placement of a child (adoption or foster).
  • Special Short Term Disability is eligible for up to six (6) weeks of paid short-term disability leave at the rate of 100% of the employee's salary.
  • These benefits provide the employee with up to eight (8) weeks of fully paid leave to care for the birth of a child.

Recruited & Recommended by: Director of Mission Catalysts

Working Relationships

Reports to: Director of Mission Catalysts

Supervises: None; but as Executive Assistant, assists in coordinating the work of support staff within the Mission Catalysts Group.

Works cooperatively with: All staff of the BSCNC, BSCNC Board committees, Associations, and all affiliates of the Baptist State Convention.

Basic Responsibilities

Manage the office functions and clerical administration of the Mission Catalysts Group and perform responsibilities as needed by the Director. Support the goals and mission of the Mission Catalysts Group and serve as an effective member of the BSCNC staff. Major responsibilities include administrative support, financial assistance, and event support. These are integral to supporting the Director and Mission Catalysts group in achieving organizational goals.

Specific Responsibilities

  1. Serve as the Director's administrative assistant and receptionist. Must have an open, friendly demeanor and be able to work cooperatively with people of many different cultures and backgrounds. Receive phone calls, messages and assist office visitors. Coordinate planning and preparation of materials and minutes for all of the Director's meetings and appointments as needed. Prepare PowerPoint cells, media essentials and other materials to support the program presentations of the Director. Attend and provide support for committees that plan conferences, training events as needed, and assist Director's meetings.
  1. Serve as liaison with the Communications group, Administration, Convention Relations, other BSCNC Board Groups, and the Mission Catalysts group as requested by the Director. Work to maintain a high level of morale, a positive work environment, and a climate of cooperation within the group staff.
  1. Serve as chief financial assistant for the Mission Catalysts group. Process all requisitions that come to the Director for approval. Assist the group support staff in making sure all financial transactions are correct by proofing account numbers.
  1. Support the implementation of Mission Catalysts conferences, which includes handling correspondence, preparing materials for production and distribution, processing pre-registration when needed, and depositing monies received.
  1. Manage mail and correspondence for the Mission Catalysts' office. Maintain files and group calendar(s).
  1. Provide and gather items needed for BSCNC Board Meetings. Attend the Mission Catalysts three annual meetings and act as secretary for group staff provision of reports to Board Members.
  1. During absences of the Director, collaborate with Mission Catalysts support staff to ensure that assigned tasks are accomplished and projects are progressing on schedule.
  1. Assist the Director with his travel plans and reservations and all other duties assigned by the Director.

  1. Must show both the ability to lead decisively, and follow faithfully and loyally the direction of the Director by being punctual, dependable and accountable to fulfilling job responsibilities.
  2. Must exhibit strategic, administrative, and organizational skills congruent with expectations of the job.
  3. Must have relational and communication skills in working with and coordinating the work of multiple staff persons. Must be able to work independently and maintain confidentiality.
  4. Must be proficient in budgeting process, accounting procedures, and bookkeeping skills in order to keep up-to-date monthly financial records for balancing budget at end of year.
  5. Must be proficient with computer skills in the following Microsoft programs: Excel, Word, Outlook, PowerPoint, and Publisher. Ability to access and utilize Internet and Website information.
  6. Must demonstrate a strong Christian character and be dedicated to the mission of N.C. Baptists in support of building a culture that is on mission together.

Other Attributes & Responsibilities

  1. Budget Responsibilities: Responsible for typing/compilation of the Mission Catalysts budget. Record monthly deposits and expenditures in Mission Catalysts accounts. Process expenditure requisitions and monthly financial records for Director's office and Mission Catalysts group.
  2. Education Requirement: A four-year college degree is strongly desired.
  3. Work Experience: Prefer 5+ years of experience in work related to the responsibilities of this job. Applicants must demonstrate knowledge of applicable computer software programs.
  4. Total number of positions supervised: None; but assists in coordinating the work of support staff.

Physical Requirements

  1. Be able to sit at a desk for extended periods of time to use a computer and/or other equipment. Be able to move one's chair back and forth while sitting in it.
  2. Be able to move to a copier/fax to copy and send materials.
  3. Be able to communicate effectively.
  4. Be able to stand, stoop, bend knees and arms, reach for various items, lift up to 15 pounds easily, open and close file and desk drawers and be able to climb/descend stairs or operate elevators to get to other places of work. Be able to pack and lift boxes of materials needed for conferences.
  5. Be able to walk in and out of buildings or use items of personal equipment such as manual or motorized wheelchairs to work and/or to evacuate place of work safely during an emergency.
  6. Be able to move items into/out of storage areas with appropriate help when necessary.
  7. Must be able to understand and follow instructions. Must be able to read and understand safety signs and have good judgment skills.
  8. Be able to operate a vehicle safely for business travel, as required, whether in BSCNC fleet car or personal vehicle or travel by commercial transportation to and from BSCNC-related events at which attendance is required. Be able to fix a flat, lift equipment in and out of vehicles, safely fill the vehicle or equipment with fuels or know when to get someone to help with tasks.
