Executive Pastor

Job Overview

The Executive Pastor is a leadership role designated to the healthy functioning of Waukesha Bible Church. This role contributes to the Mission of Waukesha Bible Church by (1) developing as a shepherd, (2) coordinating ministries, (3) administrative responsibilities, and (4) serving through a ministry of word and prayer.

  • Shepherding – While the watch-care of the flock is the collective responsibility of the Elders, the Executive Pastor will serve closely with the pastoral staff and lay elders to grow and develop as an under-shepherd to care for God's flock at Waukesha Bible Church.
  • Ministry Coordinator – Oversees all ministries in cooperation with the pastoral staff. While ministries and programs may change, current ministries under his oversight are: Worship Arts, Body Life, Equipping Process, and Care & Outreach.
  • Administrative – Oversees the administrative responsibilities in cooperation with the leadership teams to ensure policy, personnel, and programs are operating in a healthy manner.
  • Word and Prayer – The ministry of the word and prayer takes a high priority regardless of the audience or platform. The Executive Pastor will participate in the sermon development team to strengthen the pulpit and will preach and teach in rotation. Prayer will be a natural and regular part of his care for this church family.

Job Description

SHEPHERDING RESPONSIBILITIES

  • The care of shepherding requires the Executive Pastor to know the flock and be present in their lives which will take many forms and involve time, energy, and presence. Including, but not limited to the following:
  • Participates in church-wide events, special services, and outreach efforts.
  • Assists in counseling situations and crisis care.
  • Participates in the pastoral care of visiting shut-ins, hospitals, and nursing homes.

MINISTRY COORDINATOR RESPONSIBILITIES

  • Oversees a variety of ministries in cooperation with the pastoral staff to ensure ministry alignment with the Vision and Mission of WBC. All ministry coordinators and/or team leaders serving in these various ministries will work with and report to the Executive Pastor. He ensures that each ministry has capable leadership, clear and up-to-date policies, and adequate resources to serve effectively.
  • Ministry and Program specific:
    1. Worship Arts – The purpose is to provide the entire church family an opportunity to worship Jesus together in spirit and truth every Sunday. The Executive Pastor will work directly with the Worship Arts Coordinator to staff ministries teams, train and equip, and ensure each team has the resources to serve well. The ministry teams serving within the Worship Arts include: 1) Worship Team 2) Scripture Readers 3) Prayer Team 4) Media Team 5) Sound Team 6) Livestream Team 7) Choir
    2. Body Life – The purpose is to provide opportunities for our church family to build and strengthen meaningful relationships. Fostering a grace-based community takes intentionality. The ministries within Body Life include: 1) Life Groups 2) College & Career 3) Young Adults (Married/Single) 4) Men's Ministry 5) Women's Ministries 6) Hospitality Team
    3. Equipping Process – The purpose is to provide an intentional training path for discipleship, a means for onboarding into ministry opportunities, and pastoral training for those pursuing next steps in pastoral ministry. The Equipping Process includes: Discover 101, Deepen 201, Develop 301, and Deploy 401. The Executive Pastor will oversee scheduling teachers for each course, review and assess materials/curriculum in cooperation with the Teaching Ministry Coordinators, strategically plan the teaching calendar for Develop 301 electives, and oversee the pastoral residents and interns participating in Deploy 401.
    4. Care & Outreach – The purpose is to provide ministries that help our church family navigate challenging seasons of life by providing crisis care (groups and resources) and providing outreach opportunities to serve in our community
  • Helps develop and oversee ministry budgets under his oversight.

ADMINISTRATIVE RESPONSIBILITIES

  • Oversees the development, revision, and implementation of all church policies – church policy, onboarding policies, constitution, statement of faith, and staff handbook.
  • Collaborates with leadership teams to evaluate and improve ministry effectiveness.
  • Coordinates efforts with the pastoral staff to ensure healthy staff and volunteer development.
    1. Identifying, recruiting, and training leaders for ministry.
    2. Planning leadership retreats, meetings, and in-service opportunities.
    3. Working with the elders to coordinate staff check-ins and annual reviews.
    4. Creates both an environment and a process for healthy evaluations, feedback, encouragement, and training opportunities.
  • Oversees Human Resources (HR) to ensure the following responsibilities are carried out:
    1. Onboarding new employees
    2. Tracking and approving timesheets for all hourly employees
    3. Ensures the Staff Handbook is up to date and implemented
  • Coordinates efforts in developing and implementing strategic plans for advertising/marketing, social media, discipleship, and outreach.
  • Coordinates joint leadership meetings in cooperation with the Vice Chairmen of each leadership team (see leadership teams under Other Responsibilities).
  • Oversees operations to ensure the following positions have the resources to fulfill their roles and responsibilities.
    1. Provides leadership and oversight for facilities operations through the Facilities Manager, ensuring that building care, grounds maintenance, safety systems, and access control (keys/fobs) support the ministries and mission of WBC.
    2. Provides oversight for the Safety/Security Team to ensure a safe and welcoming environment for all gatherings.
    3. Provides leadership and oversight for the Worship Arts Coordinator, ensuring worship services are well‑resourced, theologically aligned, and supported by trained ministry teams.
    4. Provides oversight for the Office Administrator to ensure effective communication and administrative support for church ministries.
  • Oversees facility-related logistics in coordination with the Family Pastor, Facilities Manager, Ministry Coordinators, and team leaders to ensure ministries have appropriate setup and tear-down support.

WORD AND PRAYER RESPONSIBILITIES

  • Teaching and preaching opportunities will take a variety of forms. Primary teaching will occur within the ministry programs overseen by the Executive Pastor. Secondary teaching will take place within the pulpit rotation.
  • Participates in the sermon development team. This team meets weekly to develop sermons in community to strengthen the pulpit (see the handout: "Developing Sermons in Community – A Playbook from Hermeneutics to Homiletics").
  • Ensures all curriculum for the ministries under his oversight is consistent with our Theological DNA.
  • Is part of the corporate prayer team that serves the church family on Sundays following the morning service.

LEADERSHIP TEAM RESPONSIBILITIES

Staff Responsibilities:

  • Participates in weekly staff meetings, regularly scheduled in-services, and retreats.
    1. Works with the pastoral staff to create meeting agendas and lead meetings when necessary.

  • Helps to cultivate a healthy working environment within the staff.

  • Assists in the orientation of new staff members.

Elder Council Responsibilities:

  • Shares the privilege and spiritual responsibility of shepherding as an Elder of Waukesha Bible Church.

  • Attends Elder Council meetings (2nd and 4th Mondays monthly).

  • Communicates with the elders regularly regarding ministries and responsibilities under his job description.

Deacon Council Responsibilities:

  • Attends Deacon Council meetings as needed (2nd Sunday monthly).

Women's Care Team Responsibilities:

  • Provides direction and support for the Women's Care Team to fulfill its purpose.

  • Attends Women's Care Team meetings (as needed).

Finance Committee Responsibilities:

  • Attends Finance Committee meetings.

  • Provides operational and budgetary input to the Finance Committee chair for the development of meeting agendas.

  • Participates in annual budget preparation.

QUALIFICATIONS

  • Spiritual and Theological Maturity – Clear evidence of a growing relationship with Jesus Christ and a lifestyle consistent with biblical leadership qualifications (1 Tim. 3:1–7; Titus 1:5–9).
  • Leadership and Ministry Competence – Ability to lead, organize, and communicate effectively, while managing multiple responsibilities and navigating change with wisdom and grace.
  • Teamwork and Collaboration – Capacity to work well with staff, leaders, and volunteers in fostering unity and shared ministry goals.
