Job Description:
The Facilities Specialist is responsible for the maintenance and repair of residential facilities within the Seminary. Their primary duties revolve around ensuring that the living spaces for students, faculty, and staff are safe, functional, and well-maintained. Properties include, but are not limited to grounds, institutional buildings, housing units, vehicles, equipment, tools, and machinery. Staff members are expected to maintain assigned tools, equipment, records, and work areas, in an orderly, safe, clean, and efficient manner. This role requires a combination of technical skills, problem- solving abilities, and effective communication with residents and other staff members. Their guidance and support contribute to the quality of the student body at Reformed Theological Seminary. The Facilities Specialist plays a crucial role to help facilitate the process of preparing future religious leaders and scholars for service in their respective faith communities.

Essential Job Functions
Duties/Responsibilities
• Taking care of outdoor areas, including landscaping, lawn maintenance, and snow removal.
• Hazardous conditions awareness, reporting, security, and repair; maintenance of property landscaping, borders, and amenities.
• Conducting regular inspections of residential buildings to identify and address maintenance issues. Maintain an awareness of the condition of buildings' interiors and exteriors, report repair needs, and perform repairs and renovations as assigned and scheduled.
• Building maintenance duties include cleaning, painting, carpentry, and maintenance of lighting, electrical, mechanical, and plumbing systems.
• Maintaining and repairing heating, ventilation, and air conditioning (HVAC) systems to ensure a comfortable living environment.
• Communicating effectively with residents to understand their maintenance needs and providing updates on the status of repairs.
• Provide proper notification of their presence in the home, be able to provide approved identification, and provide a written record of the date, time, and reason for the visit.
• Reported items through an electronic Maintenance Request Form (MRF). MRFs provide a record of maintenance functions and are an important part of effective and efficient service. MRFs are assigned to staff members on a rotating schedule.
• Ensuring that all maintenance activities comply with safety regulations and building codes.
• Assisting in budget planning for maintenance and repair projects and ensuring cost-effective solutions.
• The Director of Operations, Maintenance Coordinator, or designated representative will assign MRFs. When an MRF is assigned, the assignee is required to address the request according to the following directives:
1. Emergency requests:
- a. If applicable, contact the person making the request as soon as possible.
- b. Perform the work as soon as possible.
2. Non-emergency requests:
- a. If applicable, contact the person making the request within one (1) working day to discuss the need and repair schedule.
- b. Inform the Maintenance Coordinator that the request was received and discuss scheduling within two (2) working days.
3. After a work assignment is completed:
- a. Fill in the appropriate information on the printed MRF and mark it "Completed" at the top.
- b. Return the completed form to the Office Director for computer entry and filing.
Additional Responsibilities and Requirements
• Collaborating with other staff members, such as administrators or housing managers, to coordinate maintenance schedules and address resident concerns.
• Maintaining accurate records of maintenance activities, repairs, and equipment inspections.
• Organizational skills and attention to detail.
• Excellent written and verbal communication skills.

• Provide friendly and helpful customer service to members of the seminary community, addressing their inquiries and concerns.

Position Qualifications:
Qualifications, Education, and Experience
• A High School Diploma or GED.
• The position requires 2 years' experience in construction or maintenance related field is preferred.
• Certifications, licenses, and recognitions of achievements in areas such as: HVAC, plumbing, electrical, welding, appliances, carpentry, or other maintenance related fields and trades are preferred but not required.
• Ability to work independently.
• Detail oriented.
• Strong alignment with the mission and values of Reformed Theological Seminary.
Working Conditions
• Much of the Facilities work involves manual labor and requires good health and fitness to perform routine tasks.
• Staff may be required to work at heights on ladders, scaffolds, or lifts, and lift heavy weights.
• The position is based at the Reformed Theological Seminary campus.
Cognitive and Physical Demands
• Daily/consistent: Professional judgment in alignment with organizational values and policies is required.
• Effective communication, both verbal and written, is necessary to translate high-level instructions into an executable process flow and meet project deadlines.
• Ability to handle high-pressure situations and make critical decisions.
• Basic skills in troubleshooting, math, writing, computer use, and customer service are helpful in performing required tasks.
• Daily/majority of the day: kneeling, standing, reaching, twisting, grasping, and lifting (up to 50 pounds).
