Principal Function The Financial Secretary shall be a Christian and an active member of a church with similar faith and beliefs as Bethany Baptist Church. This is a full time dual-role position in which the Financial Secretary communicates directly with the Treasurer regarding financial matters and reports to the Administrator regarding day-to-day work assignments.

Principal Duties Consistently refer any and all financial questions and concerns to the Treasurer or Chairperson – Stewardship and Financial Management Team. Attend monthly Stewardship and Financial Management Team meetings to record the ‘Minutes of the Meeting' and to answer questions as needed regarding income and expenses. With the guidance, direction and leadership of the Church Treasurer, and in accordance with IRS regulations, determine the appropriate recording and reporting condition of all monies received. Maintain contribution records according to IRS, Federal, and State laws and regulations regarding which receipts are allowed as "Tax Deductible" and which receipts are not allowed as "Tax Deductible" in order to stay within government guidelines, and in order to protect the church's non-profit status. Post offerings weekly to individual accounts. Deposit all Church offerings as soon as possible after offerings are posted. Post receipts and disbursements of all accounts according to financial system. Prepare bi-weekly payroll and prepare electronic funds transfers (EFTs) for payroll taxes as prescribed by law. Coordinate and prepare vendor payments and reimbursements; ensure proper documentation for vendor payments and reimbursements has been furnished/submitted. Prepare monthly and annual financial reports for Stewardship and Financial Management Team, Treasurer, Deacons and Church business meetings. Prepare and distribute quarterly reports to individual Ministry leaders regarding the financial status of their ministry area. Prepare quarterly and annual government reports including W-2 and 1099 Miscellaneous forms. Mail or deliver the appropriate forms to employees, vendors, the State of Georgia, the Social Security Administration, and the Internal Revenue Service as prescribed by law. Work with the Stewardship and Financial Management Team by sending out requests to the church Ministry Leaders regarding their Proposed Budgets for the new church year. Receive Budget information from Ministry Leaders and compile the Proposed Budget in electronic form or printed form for each member of the Stewardship and Financial Management Team. Maintain a file on each employee, making sure mandatory forms are completed on each employee including: Completed Employment Application Background Check Georgia New Hire Reporting Form I-9 = Employment Eligibility Verification W-4 = Federal Withholding Certificate G-4 = State of Georgia Withholding Certificate Maintain employees' vacation calendar. Maintain records on memorial funds.
General Daily Duties Financial Secretary coordinates with Administrator regarding general daily duties: Perform general office work. Database management. Prepare routine answers without direction. Order needed Church/office supplies as approved within the Church budget. Maintain a clean and orderly office.
Miscellaneous Perform other relevant assignments as delegated by Administrator and/or Treasurer.
