Job Description
Job Function: Operate as an in-person team member and perform a variety of responsible secretarial, technical, and administrative functions. Support the managing attorney and remote lead paralegal daily, and up to two additional attorneys as needed, with routine requests and matters, ensure maintenance of files, draft engagement agreements, receipts, and routine correspondence, and edit legal documents for the following practice areas: estate planning, family law, business formation, and real estate.
Duties and Responsibilities:
General Support a. Serve as the first point of contact for potential clients, clients, customers, and vendors b. Answer, screen, and direct telephone calls c. Schedule and confirm appointments using Rocket Matter software d. Take detailed messages and respond to routine inquiries e. Correspond with customers, clients, and co-workers f. Personally meet with customers and clients g. Gather documents and prepare attorney information packet materials for consultations h. Type, proof, copy, organize, and distribute correspondence/legal documents i. Draft engagement letters and responses to routine correspondence j. Process payments k. E-file and E-record l. Send courtesy copies to court staff as necessary m. Support attorneys in litigation matters by providing Zoom information, sending courtesy copies, and informing clients of the status of their case n. Support Lead Paralegal generally
Estate Planning a. Assist the attorney in drafting wills, trusts, deeds, and ancillary estate plan documents using Wealth Counsel or other templates b. Serve as the general point of contact for clients, answer general questionnaire questions direct legal questions to the attorney, and provide responses from the attorney to clients when necessary c. Arrange witnessing, serve as a witness, schedule estate plan execution meetings, and print and coordinate estate plan documents in binders
Family Law a. Draft, review, and prepare Discovery b. File pleadings c. Mail communications d. Assist Attorney
Business Formation a. Draft for-profit and non-profit business formation documents b. File Annual Reports, Articles of Incorporation and Articles of Organization
Residential Real Estate- Assist Lead Paralegal and Attorney to a. Prepare Sale and Purchase Real Estate Contracts b. Prepare file and enter all pertinent information and dates into Rocket Matter software c. Order title and survey d. Communicate with clients, agents, lenders, and all parties involved in the transaction e. Correspond in contract negotiations f. Prepare all necessary closing documents g. Obtain necessary transfer stamps h. Prepare closing statement and tax proration for settlement statement i. Order all necessary title items i.e.: payoff, paid assessment letter
Position Requirements: • At least 5 years of experience in a small law firm is preferred • Paralegal Certification is preferred • Ability to work independently and as part of a team in a fast-paced environment • Strong analytical and problem-solving skills • Organized, detail-orientated, and responsible • Ability to manage workflow under time constraints, with competing and shifting priorities • Knowledge and commitment to the utilization of technology • Strong time management and follow-up skills • Strong commitment to client service
