MINISTRY ASSISTANT – Administrative Support PURPOSETo assist the pastoral staff by providing administrative, communication, and event-related support as well as contributing to the overall effectiveness of all church ministries. Juliet. · Actively participates in the life and ministries of First Mt. Juliet by faithfully attending, serving, and giving. RESPONSIBILTIES Ministry Support· Assist in planning and execution of weekly church ministries (LifeGroups, MidWeek, Discover First, Join First, etc.).· Prepare for meetings (copies, room setup, food orders, etc.).· Support major holiday events (Easter, Christmas, Mother's Day).· Be familiar with upcoming events and church-wide initiatives.· Receive participant lists for events, classes, or groups.· Input and maintain participant information in the church database.· Send confirmation emails, reminders, and any necessary materials before the events to lay-leaders and other involved.· Coordinate with ministry leaders to ensure proper follow-up after the event.· Track attendance and response actions, then provide summary reports to staff or ministry teams.· Receive and maintain prayer list· Maintain the Serve@First database of volunteers and communicate new volunteer inquiries with the respective ministry leaders· Communicate and coordinate all restocking of worship center supplies (envelopes, guest cards, pens, ...) General Administrative Support· Assist with leader calendar management and scheduling.· Type and send correspondence (letters, cards, emails, etc.).· Review and edit documents as needed.· Make phone calls as requested.· Reconcile and submit monthly credit card statements.· Assist with pastoral travel planning as needed. Team & Office Support· Collaborate with other staff and serve as a team player.· Serve at the receptionist desk as needed.· Participate in staff meetings on an as needed basis.· Common's Café oversight· Maintain and monitor inventory levels, placing orders as needed to ensure adequate stock. · Provide operational support as needed · Ensure accurate reporting of sales and cash receipts to the Accounts Receivable Manager.· Communicate with volunteers assigned to work at the café on Wednesdays and Sundays· Complete other duties as assigned. SKILLS· Ability to make independent decisions and apply critical thinking.· Demonstrate professionalism in all tasks and communications.· Maintain schedules, calendars, and tasks with minimal oversight.· Communicate clearly through email, letters, and other forms of communication.· Proficient with a computer, Microsoft suite of programs, and Google docs.· Accountable to meet deadlines.· Ability to manage multiple tasks simultaneously. HOURS· Monday – Thursday 8:00am – 4:00pm (3-Day workweek would be considered)· Wednesday Evenings: 5:00pm – 8:00pm· Available for Sunday support on an as needed basis· Availability for key holiday events (Easter, Christmas, Mother's Day)· Total hours: 32-40 hours per week, based on schedule and church needs CLASSIFICATIONSupport Staff: This is a non-exempt, hourly position averaging 32-40 hours per week.
