Job Overview

Responsible to assist the Lead Pastor in strategically fulfilling Calvary GVR’s (CGVR) purposes with the ministry staff and throughout the congregation The Ministry Coordinator (M.C.) must qualify by the Biblical standard for a Deacon as described in 1 Timothy 3:8-1 They must be willing and able to perform their duties in accordance with the bylaws of the church and “Ministry Expectations” document.

The M.C. position does not require a pastoral or teaching/preaching calling or qualification – at its core, this is an assisting and equipping ministry focused more on logistics and day to day ministry than on spiritual leadership…this can be a learning position with a potential for growth and even a pathway to ordination for Biblically qualified and called candidates.

Job Description

  1. Volunteer/Servant Coordination
    • Function as the primary contact for all non-pastoral volunteers
    • Work with ministry leaders to plan and implement logistics for their individual ministries
      • Communication & Scheduling – engage the ministry leaders in determining and communicating a schedule which accounts for the ministry needs and allows for appropriate periods of rest and serving for all volunteers
      • Implement and communicate the schedule using approved organizational tools (Subsplash scheduling, Planning and CGVR email)
    • Work with ministry leaders to order necessary supplies & subscriptions for their individual ministries
  2. Volunteer & leader development and discipleship:
    • Work with Lead Pastor to implement a lay leadership development plan.
    • Work with ministry leaders to identify and document best practices in all ministries
    • Create and implement training programs and work with ministry leaders to recruit and train gifted and called volunteers.
    • Provide regular and objective feedback to each direct report related to their areas.
    • Meet with ministry leaders as needed.
    • Discipleship – as a church we are always to be forming relationships and prayerfully working with volunteers to help them understand and pursue God’s calling on their life – understanding if a volunteer would be better suited to another ministry or if a volunteer needs to consider stepping down for spiritual or family reasons is an important conversation that should be discussed with Lead Pastor and Ministry Leader
    • Delegation of tasks as appropriate to called and equipped volunteers and ministry leaders – this is essential to our mission and to the success of the M.C. – without delegation it may not be possible to complete all of the job duties as assigned.
  3. Team Building Development
  • Assist Lead Pastor with team building and development of all staff i.e. All Staff Meetings.
  • Ensure direct reports and their teams establish personal and ministry growth objectives using a review process with all their staff.
  • Encourage Ministry Team interaction for ministry areas that overlap and strategic planning as a whole resulting in interdepartmental communication.
  • Participate in prayer support and encouragement to staff regarding their personal/family needs.
  • In partnership with the Lead Pastor, shepherd the volunteers and ministry leaders
  1. Sunday morning service coordination and implementation – overall, the M.C. is responsible for overseeing the logistics of our Sunday morning worship service and ensuring excellence in the offering we give.
    • C. should be present and personally oversee the entire setup & breakdown on Sundays.
      • For Sundays when M.C. is not present, they are responsible for delegating and preparing a volunteer replacement
    • Work with ministry leaders to ensure sufficient volunteer and leader scheduling for Sunday.
    • Communicate needs for special service items (e.g. – Baptism, pray first, dedications, children’s programing, etc.)
    • Ensure all sermon notes, announcements, music lyrics, videos and visual templates are loaded into the presentation software and functioning in various media platforms required to run the service.
      • Create and distribute a “run sheet” to all pertinent leaders and volunteers.
      • Oversee and ensure Spanish translations of pertinent materials.
  1. Model Christ-like living and leading. Demonstrating and promoting a culture of spiritual growth, personal management, and self-care:
    • for other staff and their families, volunteers, and prayer requests submitted by the congregation.
    • Being attentive to God first, family second and work duties within the boundaries of balanced need.
    • Attending a weekly worship service as regularly as possible.
    • Genuinely caring for, and maintaining knowledge of Staff, and families of CGVR.
    • Sincerely monitoring and caring for the spiritual health and growth of lay leaders and volunteers.
    • Contributing to the ongoing improvement, development, and positive support of the ministry.
  2. Promote and comply with departmental and organizational policies such as:
    • Consistent and timely delivery of accounting documentation, as applicable, such as: budgets, expense reimbursement requests, check requests, time sheet approvals, etc.
    • Excellent time management to accomplish the job duties and responsibilities effectively and efficiently on a consistent basis within time limits defined by the job description.
    • Punctual and regular attendance at staff meetings and ministry events, etc.
    • Consistently honor, respect, and promote positive staff health and unity with positive relationships, including supporting supervisory and management decisions.
    • Reliably comply with established and dynamic department and organizational practices and policies.
  3. Administrative
    • Assist the Lead Pastor to ensure all staff policies and procedures are understood, relevant and implemented.
    • Ensure communication takes place between ministry staff and lay ministry leaders when decisions or policies are approved.
    • Create and maintain records and systems for
      • Volunteer management – confidential personnel files including background checks and notes/performance evaluation
      • Pertinent church management info – essential leases, software, church management programs, etc.
  1. Equipment maintenance & registration: C. is NOT expected to fix all of the equipment themself, simply to be apprised on the condition and potential problems that may cause a disruption to the ministry and to take appropriate action
    • Be aware of the condition and status of church owned/leased equipment or facilities.

  1. Financial Development:
  • Work with Lead Pastor to manage and develop our ministries’ budgets (spending plans).
  • Review budget reports monthly and discuss results individually with direct reports to ensure they can accomplish their goals with the resources allocated without exceeding their budget.
  1. General
    • Areas of responsibility include but are not limited to: represent Staff to CGVR Oversight Board and the board to staff (if needed), administer smooth systems of ministry flow throughout the church, and assist the Lead Pastor with his shepherding and team building of the staff.

In the event that the Lead Pastor is unable to supervise the M.C. the M.C. will report to the CGVR Oversight Board.
