OVERVIEW

The Executive & Administrative Support Specialist is a high-capacity individual who plays a crucial role in the operational and strategic health of King's Church. This individual will provide direct support to the senior leadership team, manage key administrative systems, and help ensure effective communication, coordination, and execution of church-wide initiatives.


QUALIFICATIONS

  • Meets the biblical character qualifications of a deacon

  • Agreement with King's Church's Statement of Basic Beliefs and The Nashville Statement

  • Member of King's Church or willing to become one upon hire

  • Embodies humility, discretion, and a gospel-centered work ethic


CANDIDATE PROFILE

  • Bachelor's degree required; Master's degree or professional administrative certification preferred

  • At least 2 years of experience in executive support, administration, or project management

  • Excellent organizational, written, and verbal communication skills

  • Proven ability to manage complex schedules and multitask in a fast-paced environment

  • Demonstrated alignment with the mission, vision, and values of King's Church

  • Spiritually mature and relationally warm, with a team-oriented mindset


SKILLS & COMPETENCIES

  • High level of discretion and confidentiality with sensitive information

  • Strong attention to detail, proactive problem-solving, and follow-through

  • Proficient in (or quick to learn) tools such as:

    • Google Workspace (Docs, Sheets, Calendar, Drive)

    • Planning Center (People, Services, Registrations)

    • Constant Contact or other email marketing platforms

    • Canva or Adobe for basic design tasks

    • Social media tools (Instagram, Meta Business Suite)

    • Wix or similar web platforms

  • Ability to manage up (anticipating the needs of leadership) and across teams

Job Description

Executive Support

  • Manage scheduling and calendar coordination for pastors
  • Draft internal and external communications on needed church-wide communication
  • Handle meeting logistics, note-taking, and follow-up tracking
  • Maintain key project timelines and ensure deadlines are met

Administrative Systems Management

  • Maintain accuracy and integrity of key databases (Planning Center, Constant Contact, Church Directory)
  • Organize and manage official church documentation and digital filing systems
  • Prepare and disseminate weekly email newsletters (KCW), updates, and small group announcements
  • Track key church milestones (member care, events, celebrations) and initiate appropriate action and care
  • Track and maintain small group database and small group development and trainings

Operations & Communication

  • Support internal operations related to Sunday gatherings, staff meetings, and events
  • Assist in project management for major campaigns (e.g., Church in the City, Church-wide events)
  • Coordinate administrative needs for all-staff events, retreats, or volunteer trainings

Cross-Team & Special Projects

  • Serve as a representative on ministry coordination teams as needed (e.g. Service teams, Family Ministry, Men's & Women's)
  • Collaborate with team leads to standardize ministry guidelines and process documentation
  • Help build and maintain the church's brand guidelines and ensure consistency across platforms
