The Office & Customer Care Coordinator serves Christ by stewarding the daily operations of the Pure Freedom office with excellence, organization, and a heart for service. This role ensures that the office functions smoothly, efficiently, and joyfully, creating a welcoming and well-managed environment for staff, guests, customers, and donors.

While this position includes light phone answering and customer service support, its primary focus is overseeing office operations, systems, and administrative processes. With professionalism, discernment, and a ministry-minded approach, the Office Coordinator helps create an atmosphere where the Pure Freedom team can thrive and the mission can advance unhindered.

With a spirit of hospitality and leadership, this role reflects Christ's love through both behind-the-scenes diligence and thoughtful front-facing interactions.

Required Skills: The ideal candidate has a strong Christian testimony and a calling to serve with excellence, integrity, and joy. They are highly organized, proactive, and detail-oriented, with the ability to manage multiple priorities and anticipate office needs. Strong verbal and written communication skills are essential, along with discretion in handling sensitive information.

This person should be comfortable overseeing office systems, coordinating administrative processes, and supporting team members effectively. Proficiency in—or a willingness to learn—Google Workspace, Microsoft Excel, and CRM tools is required. A problem-solving mindset, adaptability, and the ability to work both independently and collaboratively are critical. Occasional physical tasks, such as handling mail or managing supplies, are also part of this role.

This is a flexible 25-40 hour position with core office hours between 8 AM and 5 PM, Monday through Friday.

Job Description

Tasks:

  • Office Coordinator Responsibilities
    • Oversee the daily operations of the Pure Freedom office, ensuring systems, workflows, and physical spaces are orderly, efficient, and welcoming.
    • Maintain a clean, organized, and professional office environment, coordinating light cleaning tasks between scheduled office cleanings.
    • Monitor, order, and restock office, kitchen, and hospitality supplies as needed.
    • Handle incoming and outgoing mail and packages, including coordinating occasional bulk mailings.
    • Maintain organized digital and physical filing systems.
    • Provide administrative support such as scheduling, data entry, documentation, and process organization as assigned by the Executive Assistant.
    • Anticipate office needs and proactively address issues before they become disruptions.

  • Front Desk & Phone Coverage:
    • Serve as a warm and professional point of contact for occasional visitors, ensuring they feel welcomed and cared for.
    • Answer and direct incoming calls on the main office line as needed, providing courteous assistance and routing inquiries appropriately.
  • Customer Service Support (Light):
      • Respond to customer inquiries as assigned, maintaining timely, thoughtful, and Christ-centered communication.
      • Use approved customer service templates while personalizing responses as appropriate.
      • Offer compassionate encouragement and prayer when interacting with mothers or donors in need, exercising wisdom and discernment.
      • Learn and maintain basic proficiency in customer service systems such as Gorgias, Shipstation, Subbly, and Givebutter.
      • Know when to escalate complex or sensitive cases to appropriate staff members.
  • Other Responsibilities:
    • Participate in staff devotions, family chapel services, and prayer meetings, contributing to the spiritual life of the team.
    • Support the Executive Assistant with special projects, coordination needs, and ministry initiatives.
    • Assist with hospitality and logistical support for meetings, events, or ministry gatherings.
    • Demonstrate flexibility and a servant-hearted attitude by stepping in to support bookstore needs, subscription boxes, or events as needed.
    • Uphold a professional dress code that reflects the ministry's values and commitment to excellence.
