Office Manager/Development Support – BEE World

POSITION SUMMARY

This combined full-time role, structured over a four-day work week, allocates approximately 20 hours to Office Manager responsibilities and 12 hours to Development Support. The ideal candidate will be a detail-oriented and self-motivated individual capable of overseeing facility operations, supporting staff and volunteers, and assisting with donor communications and data management.

OFFICE MANAGER

The Office Manager will oversee the completion of Maintenance, Facility, and Event Services needs of BEE World Headquarters, under the supervision of the Director of Operations. This role will include oversight of contractors and vendor employees, as well as sourcing new service providers and volunteers from inside and outside the organization to assist with completion of work as needed. In addition, because BEE World has limited administrative staff, the Office Manager will assist with day-to-day housekeeping such as answering phones, providing building access, ordering office supplies, emptying the dishwasher, etc. This role will be responsible for monitoring the Maintenance and Facilities Budget as well as projecting and requesting necessary budget increases in a timely manner.

KEY RESPONSIBILITIES

  • Coordinate ongoing maintenance, repairs, building upkeep, and inspections, ensuring all are completed in a timely manner.
  • Oversee the work of external service providers, ensuring work is done as communicated.
  • Stay up to date on standard practices for maintaining our building and landscaping needs to enable smooth communication with service providers and prevent paying for grossly unnecessary work.
  • Source and recruit new service providers as needed, researching and evaluating services, and maintaining an up-to-date database on existing providers. Review of any new contracts with Director of Operations.
  • Support logistical aspects of BEE World events, including assisting with event schedule planning, projecting supply needs, and coordinating catering.
  • Oversee the work of volunteers during events or maintenance projects, ensuring that all work is completed.
  • Assist volunteers and staff with event tasks as needed, while maintaining primary responsibility for event oversight.
  • Source and recruit new volunteers to assist with events and maintenance as needed, maintaining an up-to-date database of historic volunteers.
  • Track expenses and make strategic budget decisions for maintenance and facilities operations, anticipating future needs and reporting them to the Director of Operations in a timely manner.
  • Provide general office support to ensure smooth daily operations including answering phone calls, helping to manage building access, restocking office supplies, and performing light housekeeping tasks.

DEVELOPMENT SUPPORT

The Development Support role provides essential assistance to the Development Team by managing ministry partner (MP) data, coordinating communications, and supporting event planning and reporting processes, under the supervision of the Director of Strategic Ministry Partnerships. This position will perform tasks within the Virtuous CRM (Customer Relations Management) database to maintain accurate MP records, generate reports, and track campaign performance. The role also involves assisting with MP events, preparing and sending donor communications, and supporting proposal and reporting processes for foundation partners. Additional responsibilities include maintaining and organizing foundation data records, assisting with donor research and meeting preparation, and ensuring timely follow-up with ministry partners through thank-you letters and other outreach efforts. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively across teams.

KEY RESPONSIBILITIES

  • Perform various tasks in the Virtuous CRM database including entering and updating MP information, creating and running reports for MP giving analysis, and creating and maintaining giving campaigns to track the origin of MP gifts.
  • Provide logistical and administrative support for MP events by managing invitation lists, coordinating venue and catering arrangements, preparing and mailing invitations, tracking RSVPs, and attending events as needed to assist with on-site execution.
  • Create and send communications to MPs to provide ministry updates, accomplishments, encouraging stories, and prayer requests.
  • Attend Weekly Development Team meetings and other Development meetings as needed.
  • Perform administrative tasks including preparing/sending thank you notes and letters to MPs, preparing informational packets to be used in MP meetings, assisting in MP wealth screens, and scheduling MP meetings.
  • Assist in the proposal and reporting process for foundation partners including gathering required data and input from various team members across the organization, assembling and distributing mid-year reporting templates to Regional Directors, and collecting completed responses.
  • Maintain and organize the foundation data repository, ensuring up-to-date records of research, background information, proposals, supporting documents, award records, and related correspondence.

QUALIFICATIONS

  • Minimum of a High School diploma or GED required.
  • Bachelor's degree preferred.
  • Minimum of three years of experience in nonprofit, business, administration, ministry development, or equivalent.
  • Operating knowledge in Microsoft Office products and operating systems.
  • Strong database management experience.
  • Strong project management, organizational, and leadership skills.
  • Experience supporting and collaborating with cross-functional teams.
