FBC Dallas Georgia is seeking to employ a part-time Office Manager to work in the office Monday through Thursday from 9 AM – 4 PM.

Job Description

PRINCIPLE FUNCTION:

The Office manager is to manage the office operations in an efficient and effective manner. Many times, the Office Manager is the first point of contact a person has with the church, and therefore is a ministry itself. The Office Manager must be knowledgeable of Church culture, activities, and schedules as well as perform secretarial duties as needed by the pastor, staff, committees, and teams of the church. The office manager reports directly to the Pastor.

RESPONSIBILITIES:

1. Gather information, design, and secure printing of all ministry publications such as weekly bulletins, newsletters, flyers, letters, cards, etc.

2. Assist pastor and other ministerial staff with general office duties.

3. Maintain membership data in churches database program.

4. Maintain church calendar and keep record of time off for church staff.

5. Schedule facilities according to policy.

6. Coordinate the process of all mailings.

7. Ensure mail is sorted and distributed.

8. Supervise office assistants.

9. Answer the phone, transfer, and make calls.

10. Receive visitors and assist in their needs.

11. Assist in handling benevolence cases and forward to the appropriate place.

12. Maintain operational status of all office equipment.

13. Oversee announcements and information displayed on digital exterior church sign.

14. Attend weekly staff meetings and other meetings as requested.

15. Co-administrate with the financial secretary the computer systems, including hardware and software.

16. Order and maintain current inventories of all office, janitorial, and kitchen supplies.

17. Notify staff of deaths or other emergencies involving church families.

18. Maintain the Office Manager notebook.

19. Other duties as assigned by the Pastor.

WORK HOURS FOR POSITION:

Monday – Thursday, 9AM – 4PM, for a total of 28 hours per week with an optional daily lunch break as defined in the policy and procedures.

QUALIFICATIONS:

1. Personal

a. Strong leadership, administrative, and organizational skills

b. Ability to meet deadlines, prioritize and work under a demanding workload.

2. Professional

a. High School Diploma or equivalent.

b. Experience in an office, administrative setting for 5 years.

c. Strong abilities and experience in working with teams.

d. Good communication skills

e. Ability to make a creative contribution to church programs.

f. Ministerial concern for all persons connected with church ministries.

g. Ability to work effectively with a wide variety of people of all ages.

h. Ability to pass a background check.

Paid-Time-Off

3-9. Office Manager: The Office Manager shall earn 3.75 hours of PTO per pay period for a total of 97.5 hours per calendar year which is equivalent to 13 days. Hours may be carried over into the next calendar year not to exceed 60 cumulative hours at any calendar year end. Each day of PTO equals 7.5 hours. An additional 30 hours of PTO will be earned after 5 years of continuous service which will increase the hours earned per pay period to 4.9 hours (rounded up to 5 hours) for a total of 130 hours per year.
