Job Overview
Title: HCC Office Manager (Full Time with Benefits)
Reports to: HCC Administrative Pastor
Relates Closely To: Facility Supervisor, General Affairs Deacon, Church Treasurers
Supervises: English Administrative Assistant, Chinese Administrative Assistant, IT Coordinator, Church Accountant (on non-treasury items such as work hours, sick leave, vacation, and etc.), and office volunteers
Purpose: To manage the day-to-day business operations of the church. Duties include office management, financial management, and general business management.
Work Hours: Tuesdays thru Fridays and Sundays. Generally, Saturday and Mondays are off days. However, note that you may be expected to work partial hours on Saturdays (on an as-needed basis), and work late hours on certain Fridays for church ministries/activities.
Job Description
RESPONSIBILITIES
To work with others in the planning and implementation of various projects and programs within the church at large.
- Office Management
- Oversee the office staff (See above) to ensure the timely completion of their responsibilities.
- Coordinate the general weekday operations of the church office such as supervising volunteers to help with the following tasks:
- Prepare the church bulletin weekly
- Help prepare retreat booklets, funeral programs, and wedding programs on an as needed basis.
- Coordinate the use of the church van for transporting the elderly or college students to church ministry events.
- Answer church phone, greet visitors, and engage with solicitors on as needed basis.
- Maintain office equipment and office supplies
- Financial Management
- Work with the Church Treasurer to ensure proper fund usage and financial compliance for church operations.
- Collaborate with the General Affairs Deacon and Facility Supervisor to prepare and maintain the General Affairs budget.
- Maintain all insurance policies (excludes health coverage for staff) associated with the church
- Coordinate matters with outside businesses and municipality entities in conjunction with the Administrative Pastor.
- General Business Management
- Manage room reservations and facility rentals along with related policies
- Manage logistics for events and special projects
- Coordinate events such as funerals and weddings for members and non-members
- Provide or arrange for translation support for the English, Mandarin, and Cantonese congregations.
SKILLS/QUALIFICATIONS
- Education: Associate or higher degree from an accredited institution is required.
- Experience: Prefer 2 or more years of administrative leadership experience in North America
- Language: Proficiency in English required. Conversational Mandarin or Cantonese, a plus.
- Cultural Context Experience: Prefer previous experience working within Asian community context.

- They must be a born-again baptized Christian that agrees completely with the Articles of Faith, Church Constitution and the Mission and Core Values of HCC
- They must be a current HCC member or willing to become a member after employment.
Ministry Skills:

- Strong organizational skills
- Strong interpersonal skills; good verbal & written communication; ability to type & translate Chinese is a plus
- Experience in supervising staff and delegating responsibilities
- Experience in financial skills such as purchasing, accounting, and budgeting
- Working knowledge of computers and proficiency in software programs, including Microsoft Office Suite and Google apps (Gmail, Calendar, Docs, Drive, Sheets)
- Sensitive to ministry in a Chinese American context, a plus
Physical Abilities:

- Have a clear motor vehicle record (MVR).
- Lift equipment and supplies weighing up to 50 pounds.
