Duties/Responsibilities:
Client Operations
- Drive operational success by actively engaging in client meetings and providing personalized solutions that address their needs.
- Swiftly resolve client complaints to enhance satisfaction and loyalty.
Finance
- Facilitate the adoption and implementation of a financial policy manual.
- Assist in developing the chart of accounts and preparing the annual budget.
- Manage operational tasks such as resolving issues, reviewing bank reconciliations, managing cash flow, and handling EOM and EOY activities.
- Supervise financial statements preparation, and analyze and present them for client discussions and decision-making.
Payroll, HR, and Benefits
- Provide HR leadership support to clients with effective processes and procedures.
- Supervise client payroll management and ensure compliance with federal and state laws.
- Oversee benefit administration and renewals for clients.
CRM/ChMS
- Advise and assist in the selection and use of constituent management platforms.
- Coordinate all activities and schedules between client and Auxilio during implementation or conversion.
Donations
- Provide guidance in online giving platforms, fundraising, and donor communications.
- Address inquiries about noncash contributions, and issuing giving statements.
- Review and manage special cases.
- Data/Communications
- Consult and coordinate data and system architecture for email and website during client onboarding and operations.
- Ensure timely and secure offboarding of client's dismissed employees.
- Monitor and ensure all necessary registrations, policies, and procedures are in place, updated, and compliant.
- Recommend Auxilio templates and assist in modifying them.
- Evaluate risks and ensure insurance coverage based on the client's situation, financial capacity, and comfort level.
- Aid clients with worker's compensation insurance premium audits by providing data and fulfilling report requests.
Strategic Planning
- Align operations with the client's strategic goals.
- Help clients identify and improve their strategic plans as necessary.
- Collaborate with Auxilio staff on client initiatives and their implementation.
Supervisory Responsibilities:
- Participates in the hiring and training of departmental employees.
- Organizes and oversees the work and schedules of departmental employees.
- Conducts performance evaluations that are timely and constructive.
- Handles discipline of employees as needed and per company policy.
- Support the Operations Specialist and Operations Assistant in their respective roles.
Knowledge and Skills:
- Bachelor's degree or equivalent years of experience preferred; business or theology degree, or other master's, a plus.
- 5+ years of experience in business operations management, preferably in a nonprofit, church, or ministry.
- Three (3) years of management and supervisory experience.
- Knowledge of GAAP is essential.
- Familiarity with information and communication technologies, including websites, cloud applications, and databases.
- Knowledge of federal and state employment laws and benefits administration.
- Payroll processing experience and multi-state payroll law knowledge.
- Strong leadership, public speaking, and relationship-building skills.
- Use productivity tools like Google Workspace or Office 365
