Job Description

Overview: We are seeking a dedicated administrative assistant to join our team for a 24-hour

per week role, including Sundays. The ideal candidate will be a people person, proactive, has

strong organizational skills, is capable of managing multiple ministry calendars, supporting the

pastor in any way needed, and great at handling communications with professionalism and

discretion. Must be a quick learner, resourceful, and a great multitasker in a fast-paced work

environment.

Key Responsibilities:

Calendar Management: Maintain and manage the pastor’s calendar, scheduling appointments and

events.

Coordinate meetings, calls, and ministry events to optimize time management. Communication Handling: Manage incoming communications from guests, volunteers, and ministry leads. Maintain confidentiality and handle sensitive information with discretion. Administrative Support: Prepare and edit documents, reports, and presentations using Microsoft Word and

Excel.

Follow and maintain a detailed flow of work on shared church software. Plan and prepare/purchase materials for ministry events, meetings, and

classes.

Assist with special projects and research tasks assigned. Ministry Organization: Coordinate ministry calendar, volunteers, and supplies. Coordinate and schedule appointments, meetings, and events for the pastor and

volunteer leaders.

Assist with event planning and logistics as required. Maintain ministry supplies and storage areas. Guest and volunteer service: Greet visitors and assist courteously and professionally. Handle inquiries and provide information to the congregation. Bilingual Skills (Spanish) The ability to communicate effectively in Spanish is a plus.

Requirements:

● Detail-oriented with excellent follow-through

● Excellent organizational and scheduling skills, with the ability to manage multiple

calendars

● Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

● Ability to master new software programs

● Strong communication skills, both written and verbal

● Ability to handle sensitive information with confidentiality and discretion

● Flexible attitude with the ability to work at a fast pace, and naturally resourceful

personality with the ability to pivot quickly

● Flexible availability, including working Sundays and the occasional evenings when

needed

● Valid CA driver’s license

● Ability to pass fingerprinting and background check
