CentrePointe Counseling is seeking a highly organized and adaptive Senior Administrative Assistant to support the Executive Director:
– Part-time, 25 hours per week; W-2 position – Hybrid (mostly virtual); must be within 1 hour commute from Fulton, MD – Salary range: $29 to $33 per hour – Start date: early to mid-September 2025
Job Description
The Senior Administrative Assistant works with the Executive Director, providing virtual office management and in-person staff meeting (and other) support, including: filing, communication,email/memo writing, mild software support to staff, vendor relations and management, office supplies purchases, online research, networking support, livestream and video recording set-up, and other. This role requires flexibility, high integrity, proactive communication, discernment, and a willingness to learn.
Responsibilities (not comprehensive) • Interacting with vendors and paying invoices • Assist in preparing for, overseeing, and following up on monthly staff meetings, including running live stream technology, room set-up, A/V equipment set-up, collecting availability updates from counselors • Maintain job postings and review job applications in coordination with Executive Director and hiring team; help with completing background checks, • Coordinate with Clinical Director and medical biller with onboarding and credentialing of new counselors, including: setting up wireless accounts, Apple IDs, electronic health record (EHR) accounts, and coordinating with medical billers to facilitate insurance credentialing process • Running monthly and yearly reports for Executive Director to collect information on agency performance and functioning • Promote Continuing Education events through EventBrite page creation and MailChimp email campaigns, in coordination with Executive Director and Marketing/Graphic Design Coordinator and Digital Media Coordinator • Assist bookkeeper: track bank account activities and process bank transfers • Assist with donor and donations management, including tracking donations and managing account transfers for Samaritan Fund program, logging donations and creating year-end tax statements • Assist with various HR tasks, including offboarding exiting staff members and tracking sick leave • managing technology accounts and assets, including Gmail accounts and company iPads, and providing light tech support to staff • Help Executive Director with day-to-day administration of the agency, general research
Skills and Experience • Highly organized, able to keep track of multiple spreadsheets, tasks, processes and deliverables • Fast learner regarding software programs and online tools and apps, including: electronic health records software (Valant), Dropbox, G Suite products and Google workspace, MS Office programs • Experienced with posting and boosting job ads on Facebook, Instagram, LinkedIn and other job platforms • High attention to detail and time management • Flexible with tasks – both virtual and in-person • Strong communicator, particularly with emails and phone calls • Consistent with output and communication • Timely; meets multiple deadlines • Adept and experienced with G Suite products and Google Workspace, MS Office; experience with Canva, EventBrite, YouTube video editing, WordPress a plus • Good negotiator with vendors a plus • Bachelor's degree required
