Senior Pastor’s Ministry Assistant

The Ministry Assistant to the Senior Pastor is responsible to perform specific duties for the Senior Pastor and general ministry and church-wide tasks. This position also performs a variety of technical church-wide tasks.

Major Responsibilities

  • Take phone calls that come to the Senior Pastor's Office.
  • Make appointments for the Senior Pastor, send/answer e-mails.
  • Type and mail physical and electronic correspondence for the Senior Pastor, including guests, new members, get well, sympathy, and congratulations letters.
  • Notify Senior Pastor of death of church members and/or family members and contact information.
  • Place orders for books, study materials, etc. for Senior Pastor.
  • Develop and print forms as needed by Senior Pastor.
  • Research topics for the Senior Pastor as needed.
  • File papers, letters, forms, etc. as needed.
  • Help complete Senior Pastor's monthly credit card statement and mileage log.
  • Work on special projects generated from the Senior Pastor's office.
  • Send out Rapid Response Prayer Requests, Church mass emails.
  • Make reservations for guest speakers.
  • Arrange luncheons for the Senior Pastor with other ministers or groups.
  • Prepare workbook for Nominating Committee.
  • Maintain current list of committee members.

Secondary Responsibilities

Schedule and coordinate requested baptisms with the Pastoral Staff and inform the Baptism Committee so that they may contact the candidate for baptism.

  • Send email reminders to Deacons of the Week each week.
  • Send Deacons Meeting Agenda and Minutes monthly to Deacons.
  • Call and/or e-mail Deacons for meetings, reminders, etc.
  • Keep Deacon of the Week Prayer Schedule and Security Roster.
  • Remind Deacons of Outreach Opportunities and Praying during the services.
  • Assist Deacon Chairman and Senior Pastor with annual Deacon Nomination process, i.e., Interviews, E-mails, Deacon Ordinations, Bibles, Certificates.
  • Update Deacon Notebooks annually for new deacons and current deacons
  • Assist Search Committees as needed with correspondence, resumes, forms, documents and copies of materials, emails.
  • Assist other Committees, as needed i.e. coordinating meetings, room requests, and emails.
  • Take reservations for special events and make phone calls regarding same.
  • Send reminders to staff for staff meetings, provide refreshments and set up/clean up, as needed for All-Staff meetings
  • Send email with reports for weekly Staff Meetings.
  • Prepare/help with inserts for Sunday bulletins as needed.
  • Fill in at the Reception Desk for Receptionist and cover same as needed when Receptionist is out for vacation and/or sick leave.
  • Make arrangements for baptisms – contact pastors, committee, maintenance; keep list and certificates for those baptized.
  • Set up materials for the Connections Desk for guests of services.
  • Assist Homebound Director with Homebound Directory and update list for monthly Homebound Meals ministry
  • Assist Church Administrator with secretarial tasks as needed.
  • Arrange all documentation for Church Conference

Other

This is a general statement of job responsibilities and duties; however, the Ministry Assistant to the Senior Pastor is expected to perform other duties as required to support the core mission and ministries of Fayetteville First Baptist Church including job duty changes due to pandemics or any other unexpected change in operations.

Education and Experience:

A high school diploma is required. Any related certifications or college is desired. Must be proficient in word processing, spreadsheets, and computer data entry. Must be able to multi-task. Must have interpersonal and communication skills and be able to listen effectively to others. A minimum of 5 years of experience as an administrative assistant is preferred.
