Administrative Assistant

Job Overview

The Administrative Assistant supports Grace Church's mission to make disciples and reach the wider Nazareth community. This role provides essential support to pastoral staff, the elders, ministry leaders, and the congregation. It ensures the smooth and efficient operation of all daily, weekly, and annual church activities, directly supporting the church's ministry and mission. This is not a remote position and it is expected that the admin is able and willing to become a member of Grace BFC Nazareth.

Job Description

Key Responsibilities:

  • Administrative & Communication: Manage all general office operations (mail, supplies, Google Calendar). Process new visitor information and coordinate essential weekly communication to homebound members. Maintain and update key church records, including attendance, prayer requests, and event sign-ups. Update the church website, prepare the e-newsletter, and manage all external and internal announcements.
  • Financial & Record Keeping: Record all weekly giving, including online donations, into ServantKeeper and manage financial receipt and credit card paperwork. Assist the church treasurer with year-end report preparation, statistics gathering, and the production/distribution of annual giving statements.
  • Ministry & Event Support: Prepare the weekly bulletin and all worship elements for services (Presenter Pro/Planning by Worship Tools). Coordinate Offering Ushers and Communion preparation. Provide administrative support for all quarterly (e.g., Membership Matters Classes) and annual church events (e.g., VBS, Operation Christmas Child). Coordinate with missionaries, manage staff care gifts, and oversee background check compliance.
  • Reporting & Music Support: Compile, edit, and distribute the annual report to the denomination. Maintain all vital yearly statistics (births, deaths, new members) and membership status records. Assist music ministry with music, files, scheduling and weekly communications.

Qualifications:

  • Observable evidence of exemplary Christian character.
  • A growing relationship with Jesus Christ.
  • Experience as administrative assistant or a similar role preferred.
  • Capable of coordinating multiple tasks.
  • Strong work ethic.
  • Inter-personal skills; emotional maturity.
  • Strong organizational and communication skills.
  • Ability to work independently and manage time effectively.
  • An eye for detail – a desire to perform work with excellence to the glory of God.
  • A heart for serving in a ministry environment and working with volunteers and staff.
  • A willingness to become a member of Grace BFC Church of Nazareth.

Reporting:

This position reports to the Senior Pastor

Work Schedule:

Approximately 20 hours per week with some flexibility of schedule.
