Counseling Programs Manager

About the role

The Counseling Programs Manager provides organizational, administrative, and relational support for the church's Counseling Ministry. This role serves as the primary point of contact for the Counseling Ministry, including confidential counseling requests and registration for discipleship path events. This role assists with leader development, program expansion, and participant care. In addition to coordination responsibilities, this role includes providing up to 10 hours of biblical counseling per week. The Counseling Programs Manager helps ensure smooth execution of all counseling programs and fosters healthy connections between participants and leaders.

What you'll do

Counseling Ministry Administration

  • Manage the Counseling Ministry email correspondence, assist with appointment scheduling, send out and collect paperwork for new counselees
  • Schedule bi-monthly counseling staff meetings with lay counselors and maintain and update weekly counseling staff meeting running agenda
  • Maintain active and inactive counselee files, maintain the confidentiality of counselee information, make referrals as needed for non-members
  • Create registrations for all Counseling Ministry events, trainings, and courses, manage attendees for training sessions, assist in maintaining counseling ministry serve team

Married Life (Discipleship Path)

  • Oversee and coordinate all elements of the church's Married Life ministries, which together form the discipleship pathway for marriage and family life, for example:
    • Great Marriage Seminar (Premarital) – Manage all registrations for engaged couples, coordinate logistics, prepare materials, and serve as the day-of point of contact (Saturday mornings, 6x/year), support and maintain clear communication with Mentor Couples.
    • Newly Married Groups – Organize group registration, curriculum distribution, and leader communication.
    • Marriage Retreats & Events – Assist with planning, logistics, and communication for retreats and enrichment events.
    • Married for Life Mentor Couples – Maintain communication and coordination with mentor couples, ensuring healthy engagement with participants.
  • Develop and maintain a calendar of Married Life events and ensure consistent communication across all marriage-related ministries.
  • Partner with the Counseling Pastor and Discipleship Pastor to strengthen the Married Life discipleship pathway and integrate it into the broader church mission.

Issue-Specific Counseling Groups

  • Recruit, onboard, and train new counseling group leaders, schedule and coordinate quarterly leader gatherings or trainings, support group leaders by providing necessary information, materials, and organizational assistance.
  • Oversee the registration process for participants, ensure each participant receives the correct curriculum and resources, maintain accurate records of groups, participants, and leaders.
  • Assist in developing new issue-specific groups (e.g., grief, addiction, parenting), research and recommend biblical counseling resources for groups.

Participant Care & Follow Up

  • Serve as the first point of contact for counseling program inquiries.
  • Follow up with participants before, during, and after group involvement to encourage continued growth and engagement.
  • Provide a warm & welcoming presence in all communication.

Biblical Counseling

  • Provide one-on-one and couple counseling consistent with the church's biblical counseling philosophy.
  • Maintain clear and accurate case notes in accordance with ministry standards.
  • Participate in supervision and case review meetings with the Biblical Counseling Pastor.
  • Support the broader counseling ministry through spiritual care, prayer, and shepherding

General

  • Provide administrative and logistical support to the Biblical Counseling Pastor and Assistant Director as needed.
  • Manage relationships with staff, elders, and committees
  • Ensure that all work efforts align with the stated staff values of Christ Covenant.
  • Perform other job duties as assigned

Qualifications

  • Certification in Biblical Counseling (e.g., ACBC, CCEF, or equivalent) required or actively pursuing certification. Degree in Biblical Counseling preferred.
  • 2–3 years of experience in counseling, program coordination, or ministry leadership.
  • Experience working with and supporting volunteers, including recruitment, training, and encouragement.
  • Prior involvement in church or nonprofit ministry, especially in counseling, discipleship, or marriage ministry.
