Job Description:
The Executive Ministry Assistant is a key person in our ministry who provides comprehensive administrative support to the Director of Ministries. Primary responsibilities include coordinating and assisting with details for the implementation of projects and various ministry initiatives, as well as churchwide / cross-departmental meetings and events. This person will also work with the Director of Member Engagement to provide administrative support for the membership process and membership events.
Responsibilities of the Executive Ministry Assistant include but are not limited to:
- Provide administrative support for the Director of Ministries
- Respond to Sunday visitor connect cards and send welcome notes
- Take notes at Vestry and Foundation meetings and execute or schedule needed follow-ups
- Coordinate covenant baptisms
- Send sympathy and celebratory letters to church members
- File sermons
- Create and submit expense reports
- Steward the schedule for the Director of Ministries
- Set up meetings, maintain calendar, act as gatekeeper
- Assist the Director in strategically planning meetings with church members
- Support COTA meetings (see the COTA Meetings Guide for an extensive list of all meetings)
- Create agendas for Monday Morning Meeting and Ministry Directors Meeting
- Attend meetings, as necessary, to take notes
- Schedule quarterly Directors check-in meetings
- Take "general" calls from front desk to direct cross-departmentally (minimal)
- Provide support for the worship service
- Coordinate announcements and communion needs
- Coordinate quarterly Super Coffee Hour event
- Support churchwide / cross-departmental events
- Assist with COTA-wide events
- Support Membership Engagement process (occurs quarterly)
- Maintain First Look RSVP list and actionable items
- Track and follow up during the membership process on related paperwork/folders and membership meetings
- Complete New Member Profiles and create nametags ahead of New Member Presentation Sunday
- Enter all relevant data from membership process into database
- Set up and tear down for membership events (First Look and New Member Presentation)
- Create new nametags for First Impression ministry

Qualifications
- A personal relationship with Jesus Christ and wholehearted commitment to the mission of The Church of The Apostles
- Strong organizational and time management skills
- High attention to detail
- Willingness and ability to delegate, as needed
- Excellent communication and interpersonal skills
- Flexible and adaptable to changing needs
- Proficient in use of Microsoft Word, Excel, Google Sheets, Canva
- Able to learn and use the Ministry Platform database for data entry, basic reporting, and event bookings
Additional Information
Time & Schedule
- Full-time, in the office
- Work-from-home hours are limited
- Monday–Friday schedule with occasionally required Sundays or other special evening/weekend events
