Part-Time Financial Secretary
The church employs the Financial Secretary at the recommendation of the
personnel committee in consultation with the Senior Pastor and Administrative Pastor.
This position reports directly to the Associate Pastor of Music and Administration. This
position is one of Christian integrity and personal trust, and involves contact with the
public on behalf of the church. Due to these interactions, this person must live as an
extension of the church's witness and personality.
Because of the important role that the Financial Secretary plays in public relations,
this person is to be pleasant and cordial in dealing with all persons. Confidentiality is
essential in matters of finance and personal relationships. Discretion is key.
Essential Duties and Responsibilities:
Contributions
• Schedule counting partners
• Count and post weekly contributions
• Notify the Office Manager of special offerings in memory/honor of persons
• Prepare and oversee bank deposits
• Assign and distribute offering envelopes in December for the upcoming year
• Generate annual contribution statements
• Mail annual contribution statements to contributors at the end of the calendar year
Financial Recordkeeping
• Serve as a signatory on all church accounts
• Maintain records of financial transactions
• Reconcile monthly bank statements
• Input invoices
• Write checks and make payments in a timely manner
• Code credit card charges to the correct general ledger accountsPayroll
• Process payroll for the church ministerial staff, operational staff, and preschool
• Prepare and distribute W-2s and 1099s annually
Reporting and Compliance
• Process and print month-end reports for the church and preschool
• Provide preliminary reports to Administrative Pastor & Finance Committee Chair
• Provide final monthly reports to church staff and Finance Committee Chair
• Ensure compliance with IRS regulations
• Keep physical tax records stored and updated
• Follow all policies/procedures regarding church financials
Other duties as assigned by the Administrative Pastor/Senior Pastor
Working Conditions:
• Office-based position
• Flexible hours (based on church calendar/reporting deadlines)
• 15 hours/week

• Strong attention to detail and accuracy
• Proficient in accounting software and church management systems
• Knowledge of basic accounting principles
• Experience in bookkeeping or financial administration preferred
• Ability to work independently and meet deadlines
• Ability to handle sensitive information confidentially
• Per the church bylaws, this person CANNOT be a church member or the family of
a church member
